Know who they are and what they own before you pick up the phone.
A boat dealership customer file that holds the whole story. Every buyer, company or trust has one file: their boats, deals, service, conversations and documents. The next person who answers the phone has the whole story.

One record instead of five systems
Your boat dealership customer file replaces the pile of partial records. A customer file is the single home for a person, a company or a trust. It ties together the boats they own, the deals they have closed, their service history, every call, text and email, and the paperwork on file. Staff work it from tabs that can be linked to directly, so a rep can send a colleague straight to the Communication or Deals tab.
- Boats, engines and trailers owned, with purchase history
- Deals won, open deals and lifetime spend at a glance
- Calls, texts and email on one timeline, sent from the rep's own line and mailbox
- Documents tab with deal paperwork and files the customer uploaded
- Marketing footprint: web activity and newsletter history
- Profile completeness bars that flag missing fields before paperwork stalls
How the file fills itself
- 01
A lead or a deal creates it
When a purchase agreement is recorded, the buyer becomes a customer automatically. Staff can also create a file by hand, and duplicates can be merged by an admin.
- 02
Every touch lands on the timeline
Calls, texts and email logged against the customer appear in one Communication tab, with the staff member's name on each.
- 03
Boats attach when deals close
Closing a deal records the buyer as owner of the hull, engines and trailer, so Ownership & Service is current without retyping.
- 04
Gaps get flagged
A profile banner lists what is missing for paperwork, with a shortcut to complete it or to scan documents already on file.
What it doesn't do yet
Individual versus company modelling is basic
Company and trust accounts are supported through account type, co-buyer links and relationships. A full multi-stakeholder model is a known future need.
Some staff features are admin-only
Creating a customer, merging duplicates, archiving and the document identity scan are limited to admins.
Built around one dealer's setup so far
Parts of the customer file still carry the original dealership's naming, so a new dealer needs configuration work before it reads as their own.
What dealers ask about this
No. Leads, customers, deals, boats and service sit on the same records, so a lead that buys becomes a customer file without a sync between products.
Yes, from the rep's own RingCentral line and Microsoft 365 mailbox. Both need to be connected for each rep.
It can hold date of birth and license details pulled from paperwork. SSNs are encrypted and shown as last four only, and a full reveal needs a separate password and is audited.
